The opportunity

01 · CONTEXT

The brief was to upgrade Dayforce timeclock devices across more than 520 stores in under 33 days, immediately before the summer season. The stores spanned multiple states and time zones, and none of them could afford downtime.

Beyond the logistics, several existing timeclocks carried device-level faults that needed identifying and resolving in the field, with troubleshooting ranging from basic resets to advanced diagnostics. Where a device could not be recovered, it had to be swapped on the spot.

The objective was uninterrupted attendance management throughout, with no disruption to in-store staff during trading hours.

The solution

02 · DELIVERY

A team of four engineers plus two escalation support engineers, coordinated with an Eisenhower-matrix prioritisation model and scheduling driven by real store footfall data.

  • Eisenhower matrix applied to categorise every store by urgency and importance
  • Stores grouped by time zone and geography to optimise engineer routing
  • Resource allocation mapped against the matrix to avoid idle capacity

  • Upgrade windows scheduled against periods of lowest customer activity
  • Store-specific operational characteristics factored into each plan

Three-tier communication protocol

  • Morning email at store opening with essential information and updates
  • Second email immediately before the software update commenced, preparing staff
  • Final email on successful completion confirming the transition to all store personnel
